Comments

Below is a description of how you can add and manage comments in 1KA, how survey editors add comments and how respondents add comments.

1. Comment settings

To enable comments, go to the 'EDIT' – 'Settings' – 'Comments' tab. You can also access comments by clicking on the dialog box via the blue icon on the right (under your profile name) or in 'TEST' – 'Comments'.

In the comment settings, we have the option to turn on comments:

  • general editor comments,
  • editor comments for each question,
  • general comments of respondents in the test survey,
  • respondent comments for each question in the test survey.

By clicking on the 'Show advanced settings' button, you can also set the default settings for the preview and test input, the input field for authors' comments on the survey, the notes for each question in the comments tab, the input field for authors' comments on each question, an additional window under the questions for respondents' comments, additional settings for respondents' comments and the comments in general. After selecting the settings, you should always click the 'Save changes' button. In this section, you can also delete all comments from your survey.

2. Adding comments

Comments can be added in the test view of the survey, which can be accessed via the blue icon (screen with the letter T) to the right of the survey URL at the top of the screen and in the 'TEST' – 'Diagnostics' tab.

Depending on your settings, you will see boxes to enter comments: either under each question or for the whole survey. If you want comments from the respondents, you need to provide them with the URL of the test view of the survey. Editors can add comments to questions in the 'EDIT' – 'Questionnaire' tab. Under a question, condition or block, click 'Add comment', write your comment in the box and click 'Comment'.

3. Viewing comments

To see the comments on the survey, click on the 'TEST' – 'Comments' tab. You can also access the comments by clicking on the speech bubble icon located on the right hand side under your profile name.

You will see all the questions that have comments, with editors' comments on the left and respondents' comments on the right. You can edit and correct questions in the interface by simply clicking on them. You can also reply to comments here. Once the comments have been reviewed and possibly taken into account, you can 'Resolve' them to hide them from the default view of only unresolved comments. By clicking on 'Add a question comment', you can respond to comments made by the survey editors.


The functionality is available for users of the 3KA package for individuals, and for users of the business packages for groups.

Computations

During the creation of the questionnaire, in the 'EDIT' – 'Questionnaire' tab, you can use a calculation to define automatically calculated values based on the respondents' answers.

This feature is especially useful with quizzes and tests, where you are interested in the score (number of points) based on the values of individual answers. An example of use in a survey would be the calculation of a respondent’s age based on their year of birth.

You can add a calculation in the 'EDIT' – 'Questionnaire' tab by clicking on the blue plus icon in the left-hand menu, which will open All question types. Select 'Calculation' from the 'Advanced features' category. This will open a pop-up window for editing the calculation:

  • First, choose a variable from the dropdown menu (e.g. Q1);
  • Then specify the desired operation, where you can choose between addition, subtraction, division and multiplication;
  • Select another variable from the next dropdown menu. For example, you can set the calculation of Q1 + Q2;
  • If you wish to include several operations and variables, repeat these steps.

The following advanced settings can also be used when editing calculations:

  • If you select the option 'Number' instead of the variable, this allows you to perform calculations with constants (e.g. multiply the variable Q1 by 10);
  • You can change the order of the variables by clicking on the vertical double-headed arrow icon on the left and dragging the variables to the desired position. You can also remove a variable from the calculation by clicking on the trashcan icon to the right of the variable;
  • To the left and the right of each variable, you will find plus and minus-shaped icons (Brackets), which allow you to edit brackets and ensure the correct order of arithmetic operations with complex calculations;
  • In the bottom left corner ('Variable name'), you can rename the calculation. In the question text, you can also insert the value of the calculation by entering #computation_name#;
  • In the bottom left corner (under the 'Variable name' field), you can determine the number of decimals for the calculation (from 0 to 10).

With quizzes and tests, you might want to set the value of individual answers (e.g. 1 for correct answers and 0 for incorrect answers) before you set up calculations. To change the answer values, click on the advanced editing icon, select the option 'Edit values' and enter the appropriate value to the left of the individual answer (e.g. 1 for correct answer and 0 for incorrect answer).

A calculation is the same as a computed value, which is available in the 'DATA' – 'Computations' – 'Computed values' tab.

Voting

The "Voting" survey type supports the process of anonymous voting. Voting is a one-question survey ("Categories - Single answer") which allows the immediate display of the statistics of the answers. In a "Voting" survey, there is only one question, so there is no testing and no test data entries. The data also can't be edited or deleted.

1. Voting survey creation

Voting can be created by clicking on the 'Create survey' option and selecting the 'Voting' survey type.

2. Editing the voting survey

By default, there is no introduction, the exit page is hidden, and there is a pre-set question with a single answer. Here you can enter the desired question and possible answers, as well as set additional voting preferences in the left-hand window.

3. Voting survey settings

  • You can choose if the voting will be an independent survey, which the respondents can access via an URL link, or if it will be embedded in a website.
  • You can also select the option of the respondents selecting their gender;
  • Within the 'Show intro / conclusion' section, you can set if the respondents see the intro and the exit pages;
  • A graphic representation of the answers can be configured in the 'Display statistic' section. The statistics can be shown to all respondents or to administrators only.

Additional settings are displayed by clicking on the 'More settings' option:

  • Survey duration or 'Survey start' and 'Survey end';
  • Theme (design) choice for the survey; if you want to embed the voting in a website, then select the 'Embed' theme from the drop-down list.

If you want to prevent a respondent from voting multiple times, you need to use the 1KA system for sending email invitations:

4. Sending voting invitations using the 1KA system

In the 'PUBLISH' - 'Invitations' tab, enable the 1KA system for invitations.

Set the Settings for Email Server. Then, choose the right General invitations settings:

  • Set the 'Personalized invitationst' to 'Yes';
  • Leave the 'Type of invitations' as the default 'Send emails' option
  • Leave the 'Code entry' as the default 'Automatically in the URL' option
  • Leave the 'Enable the access to the survey without individualized invitation code' as the default unchecked option
  • Click the 'Save' button

In the second step ('Add'), add the recipients: select the desired fields, and be sure to enter the email addresses. Then format the e-mail message, and send it.

In the third step ('View/Edit'), we can view the list of email addresses and whether the invitation was sent, as well as the respondent's survey status (non-answer, completed survey, ...).

5. Voting results

Voting results can be viewed in the 'ANALYSE' - 'Statistics' tab or, you want a graphical display of results, in the 'ANALYSE' - 'Graphs' tabs.

Use of the Text Editor When Editing Questions

The 1KA application uses CKEditor 4.4.7, which provides more advanced options for formatting text, uploading images, files, etc.

By default, the most commonly used functions are shown, but clicking on 'More' opens up additional options. One of the more advanced options worth highlighting is the glossary, which allows you to add definitions or explanations to words that appear in questions and answers.

Tabs in the Questionnaire

Tabs in the questionnaire make it easy to jump between the different sections of the questionnaire. To set them up, when creating a questionnaire in the 'EDIT' – 'Questionnaire' tab, place the questions for each section in its own block, so that the first question of the block is preceded by 'BLOCK' and the last question of the block is followed by 'ENDBLOCK'.

Clicking on the 'pencil' icon opens the editor on the right, where you select 'Yes' for the 'Block as a tab' option. A block as a tab must not contain any page breaks.

Respondents will see all the tabs you have set up in the survey and will be able to easily jump between them. Example of a survey with tabs >>

Satisficing in Surveys

Respondents' behaviour during the survey is influenced by various factors: the complexity of the questionnaire, the respondent's ability and the respondent's motivation. In long surveys, respondents often become tired, disinterested, impatient and distracted when completing the survey. This can lead to the respondent starting to answer according to the satisficing theory. Satisficing is an alternative form of behaviour of respondents who lack engagement but still participate in the survey for various reasons (e.g. contract, rewards, feelings of shame, habit, curiosity, etc.).

Whether respondents are completing the survey on a satisficing basis can be identified through various response patterns: the choice of the first answer, the choice of the middle values, the choice of the last answer, random choices, the choice of the final and first values for matrix questions (tables) and the use of the answer 'Don't know', the time of completion of the survey, etc.

Approaches to Reducing Satisficing in Surveys

1. Before data collection:

  • If possible, keep the questionnaire short, keep the questions simple and occasionally include questions where respondents are asked to explain their answer. Put the more important questions at the beginning.
  • Motivation of respondents can be increased by emphasising the importance of the study.
  • We make the survey easier for respondents by reducing the complexity of the wording of questions, avoiding questions about events that would be harder for respondents to recall, rewording complex questions into multiple questions, naming all answers.
  • The satisficing effect can also be reduced by randomising the answers, avoiding table-type questions and questions with non-content answers.

2. During data collection:

  • At the time of data collection, we can monitor the time taken to complete the survey, which, in the event that the survey is completed significantly faster than expected, indicates the possibility of satisficing-based completion. It should be borne in mind that fast completion is not necessarily an indicator of satisficing.

3. After collecting data:

  • After the data collection period, we can remove answers or even whole units from the analysis (or use data insertion methods) where we observe satisficing to improve the quality of the data.

Combined Table

You can include the 'Combined table' question type in the questionnaire, which can be found among all question types. The Combined Table allows you to combine different question types such as single answer, multiple answers, text input, numeric input and date.

For each question type, you have several kinds of settings:

For 'Single answer', you can set:

  • number of answers horizontally, you can choose from 1 to 20;
  • the layout of answers, you can choose the classic table or drop-down menu;
  • the maximum width of the question (subtable): from 10 % to 60 %;
  • visibility of the question - you can also specify to whom the question is visible, you can also use it to edit a table in the 'Data' tab afterwards and therefore mark it as visible only to administrators.

For 'Multiple answers', you can set:

  • number of answers horizontally, you can choose from 1 to 20;
  • the layout of answers, you can choose the classic table or drop-down menu;
  • the maximum width of the question (subtables): from 10 % to 60 %;
  • visibility of the question, by default the question is visible to all.

For 'Text input', you can set:

  • number of answers horizontally, you can choose from 1 to 20;
  • the width of the text input field, you can choose between values from 1 to 9;
  • the number of lines of the input field, you can choose from 1 to 10 lines;
  • the maximum width of the question (subtables): from 10 % to 60 %;
  • visibility of the question.

For the 'Numeric input', you can set:

  • number of answers horizontally, you can choose from 1 to 20;
  • integer digits, you can choose between the values from 1 to 10;
  • decimal digits, you can choose from 0 to 10;
  • the maximum width of the question (subtable): from 10 % to 60 %;
  • visibility of the question.

'Date' is displayed in the form of a calendar, where the respondent can select a complete date (day, month, year), next to the calendar is a field in which the selected date is displayed. For the 'Date' you can set:

  • number of answers horizontally, you can choose from 1 to 20;
  • the width of the field for the selected date, you can choose between 1 and 9;
  • the number of field lines, you can select from 1 to 10 lines;
  • visibility of the question,
  • the maximum width of the question (subtable): from 10 % to 60 %;
  • the lower and upper limit for year display.

The combined table also provides a simple overview of the data under the 'DATA' - 'Browse' tab.

Key Features an Advanced User Should Know

To create a more advanced questionnaire, it is good to know some of the key features or potentials of 1KA that you might not have expected, but which will make it easier for you to work with the tool:

  • (IF) conditions – to option to have only certain people respond to certain questions;
  • Loops – the question is repeated depending on a specific answer;
  • Data piping – including the answer of a question into the text of a subsequent question;
  • Comments - The use of comments is recommended in order to test the questionnaire and eliminate any potential shortcomings. Comments can be used in many different ways - they can be visible only to editors or they can be an integrated part of the questionnaire, making it open to comments from respondents. You can also enable comments for the entire questionnaire or just individual questions;
  • Blocks are recommended for the creation of complex surveys, since the questionnaire is divided into specific sections, making it easier to edit as well as complete the questionnaire;
  • Condensed view of the questionnaire is recommended for long and more complex questionnaires;
  • Public link to access data and analysis in the case of application forms, voting or other short surveys;
  • Creating a voting system, where the respondents answers a question, after which a graphical representation of all responses (i.e. vote results) is displayed;
  • Respondent groups, which can be analysed without asking identification questions;
  • Multi-language surveys;
  • Notifications of survey completion, where you can set notifications for each received survey response, and can also set an email notification for respondents upon successful survey completion;
  • Open-ended response coding;
  • Computations enable the creation of various computations;
  • Custom reports, where you can use custom tables or graphs and add your data interpretation;
  • Website Evaluation, where the screen is divided into two parts during the survey: one is the website and the other is a questionnaire that you use to rate the website.

Registration Form

A registration form is a type of survey that incorporates one or more variables. You can include only an email address, or it can incorporate other variables in which you are interested.

You can create a registration form by clicking the 'Create survey' option. A new window will appear, where you can enter the name of the registration form, select the 'Form' questionnaire type, and click 'Next'.

Variables can be added in two ways:

1. Insert the desired question types and edit them. If you want to have the variables 'name' and 'email', first select the 'Text' question type and write 'Name' into the text question. For the email, navigate the mouse to the menu on the left and click 'Add question' , where all the available question types are listed. Under the category 'Standard input', select the 'E-mail' option.

  • If you wish to use the two variables later in notifications, you must define them as system variables. This can be done in the individual question editor, in the 'Advanced' tab, where you select the category 'System variable';
  • You should also rename the variables in the same tab, under the category 'Variable'; enter 'Name' under 'Variable name' for the first variable, and 'Email' under 'Variable name' for the second variable, so that the system will automatically detect the variables for notifications.

2. To the right of the question editor, you will find the option of Alerts from responses quick settings, where you select the recipients of the notifications. You can choose between the authors of the survey, additional recipients and respondents.

If you select a respondent, the variable 'E-mail' is entered into the form, which is by default a system variable and can be used for notifications without further settings.

You can add the other variables in the same way as with a standard survey. If you wish to use them in notifications, you must define them as system variables.

Notifications are only available to users with 2KA and 3KA payable package

System variables

Each variable that you wish to include in the notification message must be defined as a system variable. In the question editor of each question, in the 'Advanced' tab, you can select the option 'System variable'.

Enter #variable_name# into the notification message.

Example: The participants must select a date in the registration form. The date variable is named Q1 in the question editor. you should enter in the message, for example: “you have chosen the date #Q1# for the workshop.”

If the registration form is to be embedded on a website, we recommend that you select the 'Embed' design, which can be selected in the 'EDIT' – 'Design' tab.

Insight into the registration database

The 1KA system enables you a quick insight into the registration database. If you are a 3KA private package user you can also create a URL link to the database and forward it to selected individuals. The list can also be exported in PDF, MS Word and Excel formats, as well as printed if you are a user with 2KA or 3KA payable package user.

Additional Settings for the Introduction and Conclusion

In the 'EDIT' - 'Questionnaire' tab, you will find the 'Introduction' and 'Thank you' (conclusion) questions preset as a special introduction question type with generic text that you can edit and change.

The 'Introduction' can easily be hidden by clicking on the eye icon, or by clicking on the pencil icon to open the editor with additional settings:

The 'Thank you' page can also be hidden by clicking on the eye icon, or by clicking on the pencil icon to open the editor with additional settings:

  • Basic:
    • add an internal note;
    • show thank you page;

  • Advanced:
    • display and edit the text of  'Previous Page' and 'End' buttons;
    • specify what happens at the end of the survey.

As mentioned above, under the 'Close survey instead of link' option you can specify what happens when a respondent clicks on the 'End' button:

  • 'Close survey': the browser window will redirect to the 1KA website after survey completion - it is already preset Example of a survey >>

  • 'Jump to link': a window opens where you can enter the URL of the website you wish to redirect the respondent to after the survey Example of a survey >>

Additional options of 'Jump to Link':

Different parameters can be inserted into the URL address to which the respondents are redirected. Possible parameters are listed below:

  • Respondent's ID;
  • Respondent's status;
  • Respondent's recnum;
  • Value of any question in the survey: in this case, the question must be systemic so that a parameter can be added into the URL address as 'data piping' (eg. https://www.1ka.si?q1=#QUESTION_NAME#)
