Merging Data
In the 'DATA' – Import' – 'Merge data' tab, you can merge data from different sources based on a common key.
Of course, the key must be different between the units - different units must not have the same key. For data merging, it is essential that the 1KA file has the same key (identifier) as the additional file, e.g. sequence number, code, email, phone, etc.
Example: the Q1 variable in the 1KA database contains names of respondents and you wish to add e-mail address (E-MAIL) and age (AGE) for each respondent. In the 'EDIT' - 'Questionnaire' tab, you can create two new variables (for the e-mail address and age) and then go the 'DATA' – 'Import' – 'Merge data' tab, where you can choose all three fields: Q1, E-MAIL, AGE. Each unit has to be in its own row and variables have to be separated with a comma.
It is important to maintain the order of the variables, which can be determined by moving the fields around.
It is very important to mark the Q1 variable as the key in this example. The system will then add the email address and age from the additional file (e.g. Ana, ana.novak@1ka.si, 33) to the units in addition to the names (Q1) already in the 1KA database.
You can also export the e-mail addresses and names from an external file (Excel).
Please pay attention! If you are using a loop functionality or have activated the advanced Social Networks module, we advise against using the merge or add data function, as the data will be imported incompletely or incorrectly.
The functionality is available for users of the 3KA package for individuals, and for users of the business packages for groups.
Organizing surveys into folders
You can organise the list of all the surveys you have created in the 'My Surveys' directory into folders, which is particularly useful for users who have a large number of surveys.
You can show or hide folders by clicking on the 'Folders' button on the right.
A list of folders appears on the left, where you can create new subfolders by clicking on the three dots. Surveys that you don't put in any of the folders are in the 'All my surveys' folder, which is the first one in the folder list. The other folders are in alphabetical order.
You can rename or delete folders. If you delete a survey folder, the surveys in the folder will not be deleted, they will just be moved to the 'All my surveys' folder.
You can also move (click and drag) any folder into another folder. In the same way, you can also move individual surveys between folders, or you can select a folder for each survey in the 'EDIT' - 'Settings' tab, where you tick the 'Save survey into folder' option and select a folder from the drop-down list.
The functionality is purely for administrative purposes (to help organize the overview of surveys) and does not affect the surveys themselves.
Frequencies
By selecting 'Frequencies' from the 'Select' dropdown menu in the 'ANALYSE' – 'Statistics' tab, summary tables of all the survey variables are generated.
Each table lists the frequencies of responses and percentages, as well as a valid percentage, which shows the distribution of responses only for those respondents who answered the selected question. Additional statistics are generated according to the variable type; with ordinal variables, the average and standard deviation are also generated. The type of variable can be easily changed for each table (upper right corner above the table).
Each individual table can be viewed in a new window, with options for descriptive statistics, base frequencies and graphs. For ordinal variables, it is also possible to select summed frequencies or complemented frequencies. All these additional options can be accessed by clicking on the three dots below the question label (e.g. Q1, Q2, gender, etc.).
2KA and 3KA package users as well as users of the business packages for groups can export each table to PDF, MS Word or MS Excel formats. These users can also analyse statistics with advanced analysis options and filter them according to segments, zoom, groups, variables, conditions, missing values, time period and unit status.
The analysis settings are located in the upper right corner in the form of a 'wheel' icon. Here you can set:

Principles of 1KA Public Library Use
1. What are the restrictions on the use of questionnaires in the 1KA Public Library? Can anyone copy and use the whole questionnaire, individual parts or questions?
The questions in the public library are in principle intended for non-commercial use by all registered users of 1KA, but it is advisable to check before use if we have the underlying source, or if there are any specific restrictions on use. As a general rule, if the underlying source does not indicate any specific restrictions, the principle of "Fair use" will apply.
The 1KA website provides the questionnaires and individual questions as examples of good practice and established measurement instruments. For all questionnaires, in line with scientific practice, the sources from which the questionnaires are derived are cited in the foreword. It is also specifically mentioned if the source has any explicit restrictions or copyright protection. If the source of the questionnaire does not explicitly mention any restrictions, the questionnaire may be used for all purposes.
Users are also expected to cite questionnaires or parts of questionnaires taken from a public library appropriately.
For commercial use, rights should be further checked with the original source, which is recommended otherwise as well.
2. What does the Fair Use Principle mean?
The “Fair use” principle allows the use, copying and reproduction of copyrighted works for educational, study or research purposes, except where expressly restricted. In any case, the author and sources must be properly acknowledged.
3. How should users cite the questionnaire that they have obtained from the 1KA public library?
In general, the user is expected to explicitly cite the underlying source so that everyone can identify the author and the location of access to the source. The user may cite the source in the same way as the sources are listed in the 1KA Public Library - whether using the whole questionnaire or just a single question. The Faculty of Social Sciences uses the APA standard for citing sources. However, we also recommend checking with the copyright owner to see if they have specific instructions on how to cite sources.

4. Is 1KA legally responsible for using questionnaires from another organisation that does not cite or incorrectly cites the sources of the questionnaire?
This is a very complex area from a legal point of view. If another organisation were to submit questions without any copyright information, then most of the liability would have to be shouldered by that other organisation. In any case, the copyright owner of the questionnaire could sue anyone who did not properly cite their copyright work.
It should also be pointed out that the legal treatment of intellectual property varies from country to country. The intellectual property regime of the measurement instruments themselves and the results they produce is also unclear. We therefore advise that whenever you are in a dilemma about the use of a foreign work, you should check with the copyright owner about the use.
Using Library When Creating a Survey
In the Library tab - 'Public library' (link is only accessible to registered users in 1KA), you can view pre-made type and content questionnaires. As part of the standard questionnaires, you will find surveys, forms, quizzes and conditions and filters. You can copy these questionnaires and customize them to your survey. When editing the questionnaire, it is possible to use the library of already created surveys and questions to copy the standard questions and questions from the survey previews to your survey. You can also add your own questions and surveys to the library and reuse them.
1. Using the library to copy surveys
To copy the prepared questionnaires, in the 'Public Library', click on the 'plus' before the folder name to open the desired folder and click 'Copy survey' to the right of the survey name. Next to this option, there is also the option 'Preview', where you can see the entire questionnaire (magnifying glass icon). Once you copy the survey, you can customize it to your needs.
The 'My Library' tab allows you to store your surveys in it, giving you a better overview of them. In the same way, as in the Public Library, you can copy surveys that you have added to My Library. The procedure for adding surveys is described in the last paragraph.
2. Copying questions from pre-made surveys into your own survey
In the 'EDIT' - 'Questionnaire' tab, the 'Library' tab is located at the top right, accessed by clicking on the blue book icon.
- to copy questions in the 'Type of questions' sub-tab, first click on the plus next to the folder name to open the desired folder and then click on the name of the question you want to copy to your survey (if you just hover the mouse over the question without clicking it, you will be shown the content of the question). A copied question will appear at the end of your survey.
- Similarly, you can first find the desired survey in the 'Surveys' sub-tab. By clicking on the plus, all the names of the questions in this survey are visible. Here, too, you simply copy the questions by clicking on the selected question of the existing survey.
3. Add your own questions and surveys to the library
You can also add your own questions from your surveys and your own surveys to the library. In the 'Type of questions' and 'Surveys' tabs when editing the questionnaire, you will see two folders (My Questions and My Surveys) from which you can copy the questions in the same way as described in paragraph 2. You can also add your own folders and rename them.
- To add questions to the library, select the survey in the 'My surveys' tab where the question you want to add to the library is located. Then open the Library - blue icon on the top right in the form of a book and find the question you want in your survey. After that, click on the question toolbar, hold down the mouse button and transfer the question to the My Questions folder by dropping it in the name of your folder.
- To add surveys you have created to your library, find the selected survey in the 'My surveys' tab and click on the arrow icon - 'Add survey to my library' on the far right of the survey name. These surveys then appear in the 'My Library' tab and in the tab 'Library' - 'Surveys' when editing the questionnaire, from where you can copy any questions from this survey to a new survey. You can also do that in the 'EDIT' - 'Settings' - 'Basic info' - 'Library' tab, where you select the option 'My surveys'.
Your First Survey
After you have successfully registered on 1KA's website, you are able to create your first survey.
1. CREATING A SURVEY
You can create a survey in the 'My surveys' tab by clicking on 'Create Survey'. Choose a name for your survey, which will be displayed in your directory, as well as the name that will be visible when the survey is published (to the respondents) – the names can also be identical. You can also select the primary language for the respondents, i.e. which language the basic options should use (next page, back, end of survey …). In order to create a short survey, click on the option 'Survey'. If you wish to create a form, click on the option 'Form', while for voting you must click on the option 'Voting'.
When you select the desired survey type (Survey), you will be automatically redirected to a page where you can edit the survey, choose from the different types of questions, and later, when you have finished collecting data, can also access the data and the analysis.
To start with, you have the option of setting socio-demographic questions, which are already pre-set in the 1KA tool. These questions are standard and are used in scientific research. The selected demographic variables can be included in the questionnaire by ticking the box next to the desired variables. 1KA positions the selected socio-demographic questions into a separate block at the end of the questionnaire. Each variable comes in various types – you can select the desired question type in the 'Edit question' sub-tab. All possible question types are found in the dropdown menu in the upper right corner of the question editor. Select the chosen type and click 'Close'.
If you don't like the default Introduction, you can simply change it by clicking on the text and enter your own introduction. The introduction should not be too long but should serve to persuade the respondent to complete the survey. For more information on how to effectively write an introduction, consult our recommendations for writing the survey introduction.
Different types of questions are available on the left side of the screen, which can be easily inserted into your questionnaire. If you navigate the mouse over each question type, an example of the question formation is displayed. The questions can then be dragged and dropped to the desired position in the survey, or you can simply click on the question type, and the question will appear automatically at the bottom of the survey.
2. TESTING YOUR SURVEY
The 'TEST' – 'Diagnostics' tab warns you of any possible mistakes and offers recommendations to improve your survey. You can include Comments and Automatic entries in your survey. Comments are only available in the 3KA package. You can test the survey with the test entries icon, which can be found to the left of the survey URL and in the 'PUBLISH' – 'Settings' tab.
3. PUBLISHING YOUR SURVEY
When the survey has been successfully created, click on the 'PUBLISH' tab, where you can activate your survey and access the survey URL. More >>
By clicking on the 'Activate' option, which is found on the left side of the screen, the survey becomes active. A new window will appear; by default, the survey will be active for a period of three months, but the time period can be adjusted in the 'Activities settings can be changed here' option. You can set the start and end date of the survey activity or choose to make the survey permanent. In addition to the time limit, you can also set a response limit or quota here. More >>
Survey activation is also possible above, to the right of the survey URL, by clicking the OFF button.
4. DATA REVIEW
In the 'DATA' tab, you can review the collected data, and can also review the answers for each individual unit with the 'Insight' option. By default, only valid units (i.e. units where the questionnaire was partly or fully completed) are displayed. The collected data can be exported in text format or into SPSS and Excel. 5. OVERVIEW OF ANALYSIS
The 1KA tool merely generates tables according to the chosen question type. In the 'ANALYSE' – 'Statistics' tab, only basic statistical analyses are displayed, such as frequency, percent, number of units, etc. 2KA and 3KA private package users also have the option of advanced analysis. More >>
The 'ANALYSE' – 'Charts' tab allows access to the graphic presentation of data. Charts are only available to 2KA and 3KA private package users. The chart type is selected based on the question type, which you can also change. The colour of the charts can also be modified. More >>
Ranking a.k.a Sorting
'Ranking', also known as 'Sorting', is a special question type that allows the respondent to rank the answers in order of importance.
Ranking is a cognitively demanding survey question. The respondent is usually not able to rank more than 5 to 10 categories. It also has no major advantages compared to the rating scale (table) alternative (no possibility to calculate averages, variances, multivariate analyses, comparisons, etc.). Ranking is mainly used in situations where we want an exact order (in the case of a rating scale, several categories may have the same rating). Such situations are encountered in shopping decisions and other decision problems.
When using the 'Ranking' question type, the survey author can choose between the following sorting types in the settings:
- Relocation, where respondents relocates a certain number of options from left to right;
- Numbering, where respondents select a number next to each option in a drop-down list;
- Moving, where respondents move the options vertically;
Image hotspot, where respondents rank predefined areas in an image.
It is also possible to set the number of responses that the respondent can rank.

The functionality is available for users of the 2KA and 3KA packages for individuals, and for users of the business packages for groups.
Activity
The 1KA web tool enables an overview of the user's activity in the application itself. This option is available only to administrators and managers. On the homepage, clicking 'My surveys' opens a new page with a new menu, where you can select the tab called 'Activities'.
In the 'ACTIVITES' – 'Surveys' tab, you can find the following information:
- number of surveys you have created;
- number of email invitations sent via the 1KA system;
- number of pages or clicks on the pages in the survey;
- number of analyses you have run;
- number of graphs you have created in 1KA;
- number of survey edits.
By clicking on the Counted units, you can specify which units should be included in the review according to their status (test units, automatic entries, imported units, units with status 6, units with status 5, invalid units, email unanswered) and the language of the interface (Slovenian or English). By default, units with status 5 and 6 are selected, as well as all languages.
With the Select range button, you can select the time period for which you want a detailed insight.
Administrators can examine all of the above for all users of a particular installation.
Administrators can also review weekly, monthly, yearly and complete reports regarding the following:
- number of new and all surveys;
- number of edits;
- number of new and all responses;
- number of new and all registered users;
- number of units per device (paradata).
