Insert Numerical Answers With Slider

There are two ways to insert a 'Slider' in the questionnaire: you can select it from the list of All question types in the menu on the left, or you can select 'Slider' as the 'Layout' in the question editor for the 'Numeric input' and 'Number Table' question types, with additional options:

  • display of the slider’s handle (the respondents' selection is marked with a circle when this setting is disabled);
  • disable the display of the number above the selected point;
  • display of all possible answers (all possible answers are displayed on the slider - if the slider's handle is enabled answers are shown in the shape of an ellipse and if the slider's handle is disabled answers are displayed in a circle);
  • slider’s step;
  • the lower limit and the upper limit;
  • display of interim lines;
  • display of numerical labels (minimum and maximum);
  • display of descriptive numerical labels;
  • display of descriptive labels at maximum and minimum that can also be renamed;
  • display of default descriptive labels (determine the number and descriptive label that you want to associate with the selected number);
  • display of area labels (determine the number of areas and name them).

Survey Duration Based on Date or the Number of Responses

In the 'EDIT' – 'Settings' – 'Activity/quotas' tab, you have the option of setting the duration of the survey, i.e. how long the survey is active and open to the respondents.

Survey Activity

  • Set start time: When you select the option 'Set start time', you can choose the date when the survey should start by clicking on the calendar icon. This means that the survey will become active and accessible to respondents from the selected date onwards.
  • Set end time: By clicking on the second calendar icon next to the option 'Set end time', you can choose the date when the survey should end or close for responses. After this date, the survey will no longer be accessible to respondents for completion.
  • Permanent survey: You can also select the option to make the survey permanent. Under the option 'To:', choose 'Moment of manual deactivation (permanent survey)'. In this case, the survey will remain active for responses until you manually deactivate it. This is useful for surveys that you want to keep open for a longer period without a predetermined end date.

Example of use: For example, if you want the survey to be active from December 1st 2024, to December 15th 2024, you will select December 1st 2024, as the start date in the first calendar and December 15th 2024, as the end date in the second calendar. If you want the survey to be permanent, simply select the option for a permanent survey, and the survey will remain active until you manually deactivate it.

Quotas (Limit number of responses)

Users of the 3KA package for individuals as well as users of the business packages for groups can also set a quota (limit the number of responses) and enter the maximum number of responses in the input field. You can set a quota for all responses (including clicks on the introduction (status 3), clicks on the survey (status 4)) or only for the relevant units (partially completed surveys (status 5) and completed surveys (status 6)). Explanations of the different unit statuses can be found in the manual Status of units, relevance, validity and missing values.

When as many respondents as you have specified have answered the survey, the survey will be deactivated and a predefined message will be displayed to respondents: 'Survey reached a maximum response count.'. Clicking on the 'pencil' icon next to the message will open the 'EDIT' - 'Settings' - 'Standard words' tab, where you can edit the message as you wish. For example, if your survey serves as a sign-up form for a workshop where you will accept a maximum of 40 registrations, you can set the message to be displayed to respondents when the quota is reached. E.g. "Registration for the workshop is closed." or "All places for the workshop are filled".

You can access the data and analyses without restriction, regardless of the survey duration and quota settings. More >>

Some of the functionalities described are only available for users of the 3KA package for individuals, and for users of the business packages for groups.

Notifications

The 1KA application offers different types of notifications, e.g. notifications of new survey entries, notifications of survey expiration, notifications of changes of the survey activity, as well as notifications of survey deletion. All these notifications can be activated and edited in the 'EDIT' – 'Settings' – 'Notifications' tab.

1. The 'Completed survey' sub-tab will be displayed first.

Here you can select the recipients that will receive the notifications: respondents who completed the survey; respondents, registered to our system; the author of the survey and additional editors to whom the author has assigned access; additional recipients.

You also have the option of editing the notification that will be sent to the recipients you specified. The message is pre-set but can be customised, and you can also insert additional variables, which will be automatically displayed in the message.

If you want the date of completion to be displayed, then use [DATE]; if you want the respondent’s answers to be displayed in PDF form, use [PDF] in the message.

You can add the name of the survey into the notification by using [SURVEY]. A link to the survey site can be added using the [SITE] command, and if you wish to enable survey editing, use the [URL] command. More about additional variables can be accessed at the right of the message editor in the gray instructions field. When you change or edit anything, you must click the 'Save changes' button.

Notification of completed survey in the case of multiple languages within the survey

In the case of multiple languages within the survey, you can create customized messages for different languages. You can do this by checking the option 'respondent'. Under the 'respondents' you will see an option for languages you set earlier, for example 'Respondent - English'. Click on the 'Own e-mail design' icon to form an e-mail message and enter the text that should be sent to respondents who complete the questionnaire in this particular language (e.g. English language). In the default 'Message' box below, you should enter the message for respondents that will complete the questionnaire in the default survey language.

2. The 1KA application offers the option of notifications for 'Survey expiration date'.

Here you can set when you will receive the notification of survey expiration – set the number of days before the expiration to receive a notification to your email address. You can also select the individuals who have access to the survey or specify additional recipients by entering each email address in a separate row.

You can also use additional variables. In addition to the aforementioned commands, you can also use the variable [DAYS], which tells you how many days the survey has been active, i.e. its time interval. All changes must be saved with the 'Save changes' button.

3. Notifications for 'Activation changes' can also be configured.

You can specify if the notification is sent to the editor and those who have access to survey editing, and/or additional recipients. You can also edit the activation/deactivation message and can use system variables from the database.

4. Lastly, you can configure notification on 'Survey deletion'.

When a survey is deleted, the 1KA system can send an automatic notification to selected emails. You can either send the notification to the author of the survey or individuals who have access to the survey, as well as to additional recipients by entering each email address in a separate row. The message is already pre-set but can be customised, and system variables can be added, which are found to the right in the gray field.

The functionality is available for users of the 2KA and 3KA package for individuals, and for users of the business packages for groups.

Labelling a Question as Mandatory

You can label a specific question as mandatory in the 'EDIT' – 'Questionnaire' tab, in the right-hand side menu which is accessed by clicking on the question you want to edit. Tick the option 'Question is mandatory' and choose how respondents will be reminded of the question:

  1. Soft reminder: the application will warn the respondent of the unanswered question, but will still allow them to continue;
  2. Hard reminder: the application will not allow the respondent to continue until the question has been answered.

There is also a setting to set either a soft or hard reminder for all questions in the survey, or to remove reminder from all questions. These settings are available in the 'EDIT' - 'Settings' - 'Basic info' - 'Alerts' tab.
