Settings for exporting PDF/RTF files with answers
The complete survey as well as a printout of the respondents' answers can be exported from the 1KA tool in PDF or RTF format. The PDF option can also be used in the conclusion of the survey, where each respondent can export their answers, or you can set up notifications for survey completion, where each respondent is provided with a link to their a PDF of their answers.
In the 'EDIT' - 'Settings' - 'PDF/RTF export' tab, you can set the individual printouts.
For the survey printout, you can set whether the numbering of the questions is displayed, whether the IF conditions are displayed and whether the introduction is displayed.
When printing out the answers of the respondents, you can set whether a short or an expanded layout is used. You can set the numbering of the questions, the display of the recnum (sequence number of the respondent) and the display of the IF conditions. You can set that questions and sub-questions that do not contain answers are not displayed. If you want to export answers for multiple respondents at once, you can set each respondent to be displayed on a new page.
If you are not satisfied with the PDF output of the questionnaire or the respondent's answers, we recommend exporting to RTF format, which can be reformatted as you wish.
The functionality is available for users of the 2KA and 3KA packages for individuals, and for users of the business packages for groups.

Merging Data
In the 'DATA' – Import' – 'Merge data' tab, you can merge data from different sources based on a common key.
Of course, the key must be different between the units - different units must not have the same key. For data merging, it is essential that the 1KA file has the same key (identifier) as the additional file, e.g. sequence number, code, email, phone, etc.
Example: the Q1 variable in the 1KA database contains names of respondents and you wish to add e-mail address (E-MAIL) and age (AGE) for each respondent. In the 'EDIT' - 'Questionnaire' tab, you can create two new variables (for the e-mail address and age) and then go the 'DATA' – 'Import' – 'Merge data' tab, where you can choose all three fields: Q1, E-MAIL, AGE. Each unit has to be in its own row and variables have to be separated with a comma.
It is important to maintain the order of the variables, which can be determined by moving the fields around.
It is very important to mark the Q1 variable as the key in this example. The system will then add the email address and age from the additional file (e.g. Ana, ana.novak@1ka.si, 33) to the units in addition to the names (Q1) already in the 1KA database.
You can also export the e-mail addresses and names from an external file (Excel).
Please pay attention! If you are using a loop functionality or have activated the advanced Social Networks module, we advise against using the merge or add data function, as the data will be imported incompletely or incorrectly.

How to See Respondents' Answers in a Questionnaire Format (Rather Than in a Table)
Individual respondents' answers can be viewed in a condensed 'view' (like a completed survey) in the 'DATA' – 'Browse' tab by clicking on the icon in front of the respondent's row:

Manual Coding
With manual coding in the 'DATA' – 'Computations' – Manual coding' tab, you can choose a variable (column) that you wish to code, and then click on any unit (values in rows). A new window will open in which you can click the 'New coding variable' button. Name the newly created variable and then click 'Add'. Then add possible answers/categories to the variable (confirm by pressing the '+' button). When you are satisfied with the number of new answers, select the values you want to recode the answer to and then click the 'Save' button. When you click on the content of the same variable for other respondents, the recoding options created here will be automatically displayed.
To display the recoded values, you must then click on the 'Run calculate for all recoded variables' button that appears at the top of the page.
To change the response type of a new variable, click on the pencil icon next to the variable name in the new pop-up window. Of course you can also modify the new variable in the 'EDIT' – 'Questionnaire' tab.
Using this functionality, open-ended answers can, for example, be coded into values 1 (negative comments), 2 (neutral comments) and 3 (positive comments).
Manual coding also allows you to correct automatic coding.

Recoding
You can recode numeric and categorical values of variables in 1KA, i.e. change their values. You can access this option in the 'DATA' – 'Computations' – 'Recoding' tab.
The following recoding functions are available:
- Add – opens a window for adding variables where you want to change old values to new ones.
- Edit – opens a window for editing the recoding of a variable.
- Remove – removes or completely deletes the recoding of a variable.
- Enabled – enables or disables the recoding of a variable.
- Visible – sets the visibility of the recoded variable to respondents in the questionnaire.
Below the table, you can see a list of recoded values by variable by clicking on '+ Recent recoding'.
Recoding to the same variable:
- Recode all answers that have e.g. the values 2 and 3 to another value (e.g. 11) of the same variable,
- or define them as a missing value, e.g. 'did not answer (-1)'.
Recoding into a new variable:
- Recode the responses of the selected variable into new values, where the values of the old variable Q1 (e.g. 1 and 2) are assigned a new value (e.g. 12) in the variable Q2.
- When recoding into a new variable, the values can also be defined as a missing value.
- Similarly, you can recode categorical variables, e.g. to change Q1 with a scale of 1-5 to Q2 with a scale of 1-3. You recode the values 1 and 2 of Q1 into the value 1 of Q2; you recode the value 3 of Q1 into the value 2 of Q2; and you recode the values 4 and 5 of Q1 into the value 3 of Q2. You can also perform this transformation by calculating Q2 = 1/2 + 1/2*Q1, where Q2 will of course still have five values, but on the interval 1-3.
Outputs
For each variable you have added to the recoding list, you can output the frequencies, pooled frequencies, descriptive statistics and a graph with a single click. These can then be printed or exported to PDF, Word or Excel formats.

Measurement and Time Limitations for Responses
For each variable, you can limit the time available for entering a response. This can be done in the 'Advanced' tab in the question settings (in the 'EDIT' – 'Questionnaire' tab), where you can select 'Time limit for answering (Timer)' and set the display time for that question. Only one timer can be set for each page. When the time is up, the survey will be redirected to the next page automatically, regardless of whether there are other questions that do not have a timer on the previous page. We therefore recommend that if a timer is set, you add a page break after each question.
Pending the next application update, it is currently not possible to utilize the timer feature in cases where the timed page is followed by a page with a question that's not visible to all respondents (eg. due to group randomization or other IF conditions). Depending on the individual survey design and methodological needs, consecutive timed pages with separate conditions may instead be interspersed with pages visible to all respondents (in cases where question order is not imperative), or all timed questions within conditions can be grouped on one page (in cases where each respondent is only shown one question out of a pool of multiple questions).
If you wish to measure the answering time for each question, you must also create a separate page for each question, since time is only measured for each page. You can enable paradata in the 'DATA' – 'Browse' tab ('+ Show columns' - 'Respondent paradata') to record, in addition to the survey data, the date and time at which the respondent arrived at a particular page of the questionnaire.
In the table with the respondent units, we then have the date and exact time of completion according to the individual pages of the survey:
- Date:
- Begin: the exact date and time (hours, minutes and seconds) when the respondent opened the survey page (click on the URL of the link to open the survey);
- End: The last time the respondent was active on the survey, excluding the outro page;
- Page 1: date_1: Exact time when the respondent clicked on the "Next page" button on page 1;
- Page 2: date_2: Exact time when the respondent clicked on "Next page" button on page 2;
- Page n: date_n (n = number of pages): Exact time when the respondent clicked on the "Last page" button on page n;
- The time of the outro page (end of the survey) is not visible.
The average page times are listed in the 'TEST' - 'Duration' - 'Actual time'.
